An Administrative-Operational Support person is a professional who helps manage an office’s day-to-day operations. They are responsible for administrative support, managing the office, managing vacation schedules for staff, handling mail, ordering supplies, scheduling meetings, taking minutes, and maintaining records. This position will have lead responsibility for processing and executing all facets of the Computerized Maintenance Management System (CMMS).

Essential Functions:
- Available during A.M. Core Hours of 7AM to 3PM.
- Provide administrative support to the Project Manager which includes, but not limited to drafting reports and ensuring office protocols are adhered to.
- Ensure the office maintains appropriate supplies (i.e., paper, folders, writing instruments, etc.) by facilitating all office supply orders.
- Ensure office adheres and maintains FASCON NSAW office cleanliness and protocols (i.e., burn bags secured).
- Develop and maintain filing systems that allow for easy access and/or retrieval of documents that are commonly requested or used. Ensure appropriate systems are protected and documents are disposed of appropriately.
- Assist in updating and maintaining janitorial, porter and QC inspection building schedules.
- Maintain certification and expertise of the CMMS commonly known as MAXIMO.
- Extract MAXIMO work orders throughout the workday and ensure that work orders are disseminated to the appropriate departments.
- Track work orders to ensure Maintenance is being completed and documented from inception to completion. NOTE: Completion is identified as being updated to INQC.
- Ensure scheduled work is aligned to periodical schedules.
- Completed tickets should immediately be updated in MAXIMO to INQC and placed in the QC status slot for the inspectors.
- Communicate any customer challenges to both CPM and Quality Control Manager.
- Prepare turnover notes for the Administrative/Operational Support evening personnel daily.
